How to choose clinic management software: 10 questions to ask before you sign

Ten questions that separate clinic management software that works from software that demos well: scheduling, the patient file, billing and shift close, WhatsApp, insurance, stock, commissions, reports, data ownership and support.

If you are comparing clinic management software, here is the short answer: the right system is the one where the front desk, the doctors, the accountant and the owner work on the same data at the same moment — not the one with the most screens. The ten questions below expose that difference in the first demo, before you commit to a year’s subscription.

Front-desk questions: scheduling, the day queue and WhatsApp

1. Does the calendar split by doctor and by room? A clinic with more than one doctor or room needs to see who is free where, not one long list of appointments.

2. Is there a live “today” screen? Reception should see who has arrived, who is waiting and who is in with the doctor without walking down the corridor to ask.

3. Is WhatsApp inside the system? In Egypt and the Gulf, most patients book and ask questions on WhatsApp. Ask whether the whole team shares one inbox and whether appointment reminders go out automatically. If not, messages stay on one phone and nobody knows who answered whom.

Doctor questions: the patient file and prescriptions

4. Is the patient file complete? Past visits, prescriptions and attachments such as lab results and scans should sit in one place and open in seconds during a consultation. Ask to see a patient with many visits and time it.

Money questions: invoices, shift close and insurance

5. Does every discount carry a recorded reason? An unexplained discount is the first place money leaks. Good software asks for the reason and shows who gave it.

6. Is there a shift close with a report? At the end of the day, the cash in the drawer has to match what the system says. Ask to see the closing report itself, not a description of it.

7. Does insurance have price lists and claim tracking? If you work with insurers, each payer has its own prices, and every claim needs following from submission to payment — not in a spreadsheet on the side.

Owner questions: stock, commissions and reports

8. Does stock warn you before an item runs out? Reorder levels and alerts stop a consumable running out in the middle of a working day.

9. Are commissions calculated for you? If doctors earn a percentage, ask exactly what it is calculated on and whether it can vary by where the patient came from. Manual commission sums at month end cause more disputes than anything else.

Contract questions: data ownership, support and the trial

10. Who owns the data? Ask plainly: if you leave, can you take every patient file and invoice with you, and in what format? Then ask about support: who answers, how fast, and in which language.

Write the ten questions down one column and each product across the top. Tick only what you saw working in a trial — not what a sales deck promised. The winner is the system that passed the most questions in front of you.

We are building MediShards Clinic OS around exactly these questions: scheduling and the day queue, the patient file, invoices and shifts, a shared WhatsApp inbox, insurance, stock, commissions and owner reports in one place. It launches in November 2026 and we choose the clinics we onboard first — join the waiting list; clinics on it can earn up to one year of subscription free, depending on how fully they put the system to use.

Frequently asked questions

What matters most in clinic management software?

That reception, doctors, the accountant and the owner work on the same data at the same moment: scheduling, the patient file, billing and stock in one place rather than separate tools.

Should I trial the software before paying?

Always. Ask for a trial on data that looks like your clinic and see scheduling, the shift close and a patient file with many visits working before you sign.

When will MediShards Clinic OS be available?

It launches in November 2026. Joining the waiting list is free, and clinics on it can earn up to one year of subscription free, depending on activation.
